Job Description

The Trust Client Specialist - Real Estate will assist Real Estate Relationship Manger in the administration of daily tasks for all trust real-estate assets. The CS ensures adherence to policies and procedures. Demonstrate ownership and accountability for data integrity, including accuracy of client data within source systems.

Essential Duties and Responsibilities:

•         Perform daily operational tasks, answering telephone, dealing with client’s inquiries and researching requests while assisting in meeting quality goals and standards of the Trust Division.

•         Prepare set-up sheets for Real Estate and Mortgage Note Acquisitions. Order appraisal and insurance. Prepare tax and rent cards. Correspondence to tax office, utility companies, service contractors such as yard maintenance, pest control, homeowner’s associations, etc. Notify TSS if tenant occupied. Set-up disbursement ticklers and contacts. Send original notes to Safe Keeping. Complete Appraisal and Inspection Spreadsheet. Memo Ticklers for lease, inspection & appraisal.

•         Real Estate and Distribution/Mortgage Note payoffs: Prepare a sale spreadsheet for TSS and Tax. Transfer earnest money from clearing account to trust account. Cancel Insurance, utilities, service contractors, homeowners associations, etc. Have sales fee disbursed and processed. Delete all ticklers and contacts. Pull rent card and notify TSS. Process refund. Request payoff amount for mortgage from TSS. Request note from vault. Have an attorney prepare Trust Deed Release. Forward by certified mail the original note, deed, etc. to Mortgagor. Have attorney prepare Quit Claim Deed or prepare in house for distributions.

•         Farm, Commercial, and Residential lease preparation and processing: Set appointment or mail lease to tenant for signature. Post rents and send to TSS. Set up Farm memo or receipt ticklers for lease expirations. Post mineral income. Take calls for maintenance. Call repair people/companies and pay invoice. Set up tax cards for Real Estate and Mortgage notes. Pay taxes, record, and notify parties to reimburse for taxes paid. Work with tax attorney for tax refunds for Memphis/Shelby County. Compare delinquent list from TSS and send out delinquent letters to tenants. Farm income spreadsheet. Farm Lease expiration spreadsheet.

•         Investment Committee Review: Prepare weekly reviews using monthly reports for Mortgage, Real Estate, Farms & Mineral Interest.

•         Serve as a liaison between the administrator and the customer and also as the liaison between these two parties with other areas of the bank

•         Assist the Administrator in daily duties such as faxing, copying, delivering of documents, answering phones, loading documents in Compliance Services and serving in a backup role in the absence of administrative officer

•         Other duties as assigned and as needed to assist with shared responsibilities of the department

•         Extreme attention to detail including meticulous organization of and attention to physical filing

•         Ability to complete assigned task with limited oversight and supervision

•         Strong skills on computer applications for word processing, spreadsheets, and databases/systems

Education and/or Work Experience Requirements:

  • College degree or equivalent experience in general business, finance and operations
  • Five to ten years’ work experience
  • Experience in Trust, Banking, Investment management and back office solutions
